The situation

A martial arts academy grows on two things: trial students who convert, and members who stay. Both depend on consistent, well-timed communication, and at most academies both run through a front desk that is also checking people in, answering the phone, and running the room.

The constraint

The constraint was consistency, not effort. Trial follow-ups went out when someone had a free moment. Lapsed members got a call if someone noticed. Class schedule questions interrupted whatever else was happening. None of it was anyone's actual job, so all of it competed with everything else.

What was built

The team implemented AI directly into the academy's client relations workflows and scheduling. Trials enter a follow-up sequence the moment they visit. Members who stop showing up get a timely, personal reason to come back before the habit breaks. Class scheduling runs itself instead of running through the desk.

Every touchpoint stayed in the academy's voice, with the owner in control of what goes out. The AI handles the timing and the repetition; the relationships stay human.

What it changed

Every trial gets followed up, every time, which is where new members come from. Lapsed members hear from the academy while returning is still easy, which is where retention comes from. And the front desk went back to being a front desk: greeting people, not managing a lifecycle by hand.
